Vehicles and trailers

Both live under Assets in the sidebar. Use the Vehicles and Trailers switch at the top of the page to move between them.

Keep trailers as separate records even if they usually run with the same vehicle. Drivers pick the trailer during a check, so its defects and history stay with the trailer when pairings change.

Add a vehicle

Open Assets, make sure Vehicles is selected, and select Add New.

  1. 1Enter the Vehicle Registration, Make and Model. These are required.
  2. 2Add the Colour and current Odometer reading with its Unit (Miles or Kilometres) if you have them.
  3. 3Set Check Frequency: the number of days between required checks. It starts at 1, meaning daily.
  4. 4Choose at least one Assigned Site.
  5. 5Choose the Vehicle Status: Active, Inactive or Off-road.
  6. 6If your plan includes compliance tracking, fill in Compliance Information: MOT expiry and certificate number, tax expiry, and insurance expiry, policy number and provider.
  7. 7Select Add.

Vehicle status matters

Only Active vehicles can be found in the mobile app, and only Active vehicles are counted as due or overdue for checks. Set a vehicle to Inactive or Off-road when it shouldn’t be used, for example while it’s off the road for repair.

Add a trailer

Switch to Trailers and select Add New.

  1. 1Enter the Registration Number (at least 3 characters) and choose the Trailer Type, such as Curtainsider, Flatbed, Box, Tanker or Refrigerated.
  2. 2Add the VIN, make, model, weights and axle count if you want a complete record.
  3. 3Set the Check Frequency in days.
  4. 4Set Registration Status (Registered or Unregistered) and Usage Status (Active, In Maintenance or Decommissioned).
  5. 5Choose at least one assigned site and select Add.

Assign a driver to a vehicle

Open a vehicle and edit it to set the Assigned User. The driver then sees it as their vehicle in the app. You can also do this from the user’s record; see Invite users and assign vehicles.

Deleted by mistake?

Deleting a vehicle or trailer removes it from everyday lists but keeps its history. Turn on Show deleted on the list, then use Restore on the row to bring it back.

If you try to add a registration that belongs to a deleted asset, AutoMauve asks you to restore it instead, so its history stays in one place.

Still stuck?

Drivers: ask your fleet manager first, they can fix most access problems. Managers: sign in and open a ticket, or use the contact form if you can’t sign in.
