Invite a user
Open Members in the sidebar, stay on the Members tab and select Add New.
- 1Enter their First Name, Last Name and Email. Phone Number is optional.
- 2Choose their Role. Each person has one role.
- 3Leave User Status as Active unless they shouldn’t sign in yet.
- 4Under Assignments, choose the Sites they work from and, for drivers, the Vehicle they normally use.
- 5Add License Information if you keep it on file.
- 6Select Add. They get an email inviting them to create their account.
Invites that haven’t been accepted
People show as Invited in the Members list until they sign in for the first time. If the email got lost, use Re-invite User on their row to send a fresh invitation.
If the person already uses AutoMauve with another company, the invite adds your company to their existing account.
Roles
Roles decide what someone can do. Every company starts with five built-in roles:
- 1Admin: can manage every part of AutoMauve.
- 2Fleet Manager: manages vehicles and drivers.
- 3Driver: uses the app for checks, and sees their own details and assigned vehicle.
- 4Maintenance: manages vehicle maintenance records.
- 5Viewer: can see data but not change it.
Assigning vehicles
A person can work from several sites but has one assigned vehicle at a time, and a vehicle has one assigned driver. That vehicle appears on the driver’s Home screen in the app, ready to check.
If you assign a vehicle that already belongs to someone else, it moves to the new person and the previous driver is notified. Assignment history is kept.
You can set the vehicle from the user’s record, or from the vehicle’s Assigned User field.
Driver certifications
If your plan includes compliance tracking, open a user’s details page to add Driver Certifications such as CPC, ADR or DGSA, with certificate number, issue date and expiry date. CPC expiry dates count towards your compliance score and can trigger certification alerts.
The License Information on the user form is stored for reference but isn’t used for compliance scoring or alerts.
If a driver can’t find a vehicle
The vehicle list in the app shows Active vehicles at the site the driver picked. If the vehicle isn’t assigned to that site, the driver can still find it by typing its registration into the search, as long as it’s Active and hasn’t been deleted.
If they can find the vehicle but can’t start a check, make sure a question set of that type is published and assigned to the site the driver picked, and that your plan includes that check type.
