What a question set is
A question set is the checklist drivers complete in the app. There are three types: Vehicle Check, Incident and Tail Lift Inspection. Pay-As-You-Go companies can use Vehicle Check sets only.
Drivers only see question sets that are published and assigned to the site they’re checking at. Publishing needs at least one site, and a published set must always keep at least one. New sites automatically get the included templates.
Start from an included template
Every company gets included templates: a daily walkaround check, an incident report and a tail lift pre-use check. You can publish them and choose their sites straight away. AutoMauve maintains their questions, so you can’t edit those.
To change the questions, select Use template to make your own copy. The copy starts as a draft called “Copy of …” with the same sites.
Build the checklist
Open Question Sets and select New question set. Give it a name and description, choose the check type and sites, then open the Checklist builder.
Questions sit in groups, such as “Cab” or “Wheels and tyres”. Use Add group and Add question, and drag to reorder. The builder saves as you go.
- 1Type the Question as the driver should read it.
- 2Choose the Answer type: Single Line Text, Multi-Line Text, Number, Decimal Number, Date, Time, Date & Time, Yes/No, Single Choice, Multiple Choice, Drop-down, Photo or Info.
- 3Turn on Required if the driver must answer. Info questions just show text and can’t be required.
- 4For choice questions, add at least one answer option.
- 5Add Driver help text if the question needs explaining.
- 6Select Save question.
Turn answers into defects
Defect detection makes a failed answer create a defect for a manager to deal with. On incident question sets it’s called Incident follow-up detection and creates follow-up items instead, with a Follow-up priority of Routine, Important or Urgent.
Yes/No questions detect a “No” by default. Choice questions can detect chosen options, text questions can look for keywords, and Number, Decimal, Date and Time questions can detect values outside a range. Date & Time, Photo and Info questions can’t detect defects.
Set a Minimum severity (Minor, Major or Dangerous). Drivers can report that severity or higher, never lower, so a failed brake check can’t be logged as Minor.
Publish
The Publish readiness panel shows Ready or Needs review. Publish is disabled until every group has a name, there’s at least one question, choice questions have options, and at least one site is assigned.
Once published, drivers at its sites can use the set for new checks. If a site has several sets of the same type, give each a clear name so drivers pick the right one. To edit its questions or change its sites, Unpublish it first. It goes back to Draft and drivers can’t start it until you publish again.
- 1Give the set a clear name drivers will recognise.
- 2Check the type is right: Vehicle Check, Incident or Tail Lift Inspection.
- 3Assign the sites that should use it.
- 4Order questions the way a driver walks round the vehicle.
- 5Set defect detection and minimum severity where action is needed.
- 6Try it with a driver or manager, then select Publish.
Delete, archive and restore
Drafts can be deleted. Published sets are archived instead, so past reports still make sense. Archived sets can’t be edited, but you can Restore one (it comes back as a draft) or use Duplicate as a draft to start a new version from it.
Included templates can’t be deleted or archived.
