Before you start

Alerts are included from the Starter plan. Compliance alerts (MOT, Road tax, Insurance, Driver certifications, Operator licence and Maintenance) need the Growth plan.

Alerts are sent by email. Nothing is sent while your subscription or trial isn’t active.

Add an alert

Open Alerts in the sidebar and select Add New.

  1. 1Site: choose All sites or one site.
  2. 2Alert categories: tick what the alert covers, such as Vehicle checks and Incidents.
  3. 3If you ticked Vehicle checks, decide whether to turn on Send dangerous defects immediately.
  4. 4Recipients: pick a Team member or type any Other email address.
  5. 5Schedule: choose the days and the time the alert should go out.
  6. 6Select Add.

What gets sent, and when

Scheduled summary: on the days and time you choose, recipients get a summary of reports at the site since the last one, with how many had defects and how many were dangerous, major or minor. If there were no reports, nothing is sent.

Straight away: incident reports are emailed as soon as they arrive. Dangerous defects are also emailed straight away if Send dangerous defects immediately is on.

Compliance reminders go out at your scheduled time 60, 30, 14, 7, 3 and 1 days before something expires, and on the day. Overdue maintenance is reminded on the same pattern after the due date.

Test and manage alerts

Each alert card has Send test, which queues a test email to every recipient. Ask them to check it arrived, including in spam.

Use the switch on a card to turn an alert off without deleting it, and History to see which emails were sent and to whom.

Still stuck?

Drivers: ask your fleet manager first, they can fix most access problems. Managers: sign in and open a ticket, or use the contact form if you can’t sign in.
